The Sliding Doors Foundation ("the Foundation", "we", "us", or "our") is dedicated to supporting the educational aspirations of disadvantaged students by awarding scholarships to those who need them most. In fulfilling our mission, we are entrusted with sensitive personal information provided by applicants, their families, referees, and other stakeholders. We recognise and respect the importance of privacy and are committed to protecting your personal information in line with all applicable privacy laws and ethical obligations.

This Privacy Policy outlines how we collect, use, disclose, store, and protect your personal information. It also explains your rights in relation to your personal information, including requesting access, making corrections and making enquiries or complaints.

To assess your eligibility for scholarships and manage our programs, the Foundation may collect and process a range of personal information, including but not limited to:

• Identity Information: Full name, date of birth, gender, nationality, and identification documents.

• Contact Information: Address, phone number, email address, and preferred contact methods.

• Educational Information: Academic records, school reports, certificates, and details of educational institutions attended.

• Financial Information: Details regarding your household income, assets, employment status of parents/guardians, government support received, and other information relevant to assessing financial disadvantage.

• Personal and Social Disadvantage Information: Information relating to living situation, family circumstances, health conditions or disabilities, cultural background, refugee or indigenous status, and other factors relevant to your application.

• Supporting Documents: Letters of recommendation, references, and third-party statements.

• Other Information: Any additional information you or your referees voluntarily provide in support of your application.

The primary purposes for which we collect and use your personal information are:

• To assess your eligibility and suitability for scholarships and other support programs.

• To verify the information provided in your application.

• To communicate with you about your application or scholarship status.

• To fulfil reporting obligations to donors, regulators, and relevant authorities (in anonymised or aggregated form where possible).

• To improve our programs, processes, and communications.

• To comply with our legal, regulatory, and contractual obligations.

• If we seek to use your information for purposes not specified above, we will contact you to obtain your consent where required by law.

Your information will only be used or disclosed as necessary to carry out the purposes set out in this policy. This may include:

• Internal Use: Reviewing and assessing applications, scholarship administration, reporting, and archiving.

• Disclosure to Selection Committees: Sharing relevant information with internal and external members of our scholarship selection panels, who are bound by confidentiality obligations.

• Legal and Regulatory Disclosure: Where required by law, or to comply with regulatory requirements, or in response to lawful requests from government authorities.

• Disclosure to Donors and Partners: Providing anonymised or aggregated information about the impact of our programs (never disclosing personally identifying details without your consent).

We will never sell your personal information or use it for unrelated marketing purposes.

In submitting your application, you consent to the collection, use, and disclosure of your personal information as outlined in this Privacy Policy. Where you provide information about third parties (such as referees or family members), you confirm that you have their consent to do so for the purposes described.

If we need to use or disclose your information for any purpose not reasonably related to those outlined above, we will seek your explicit consent unless otherwise required or permitted by law.

The Foundation takes the security of your personal information seriously. We have implemented a range of measures to protect your information against loss, misuse, unauthorised access, disclosure, alteration, or destruction. These measures include:

• Restricting access to personal information to staff and volunteers who need it to perform their duties.

The Foundation operates primarily in Australia, but in some cases, your information may be processed or stored in other countries (for example, if we use international cloud service providers). We are particularly mindful of the need to protect the privacy of children and young people. For applicants under 18, we require the consent of a parent or guardian to collect and process their information.

However, withdrawal of consent may mean we are unable to process your application or provide a scholarship. We take all privacy complaints seriously and will respond promptly to investigate and resolve your concerns in accordance with our Complaints Management Policy and Procedures.
